Working under the guidance of senior Project Managers, Architects, and Contract Administrators, the successful candidate will play a key role in supporting the delivery of architectural and multidisciplinary building projects through all phases of construction.

Leveraging their architectural training and understanding of construction documentation, the successful candidate will coordinate a broad range of contract administration, project coordination, and technical activities. Responsibilities will include supporting construction-phase services, coordinating project stakeholders and documentation, assisting with project controls and reporting, and helping to ensure projects are delivered in accordance with contractual requirements, client expectations, schedules, budgets, and quality standards.

The ideal candidate is a highly organized and proactive professional who enjoys working in a collaborative, fast-paced environment and is eager to develop both the technical and project management skills required to lead complex building projects in the future.

The responsibilities of this position include, but are not limited to:

  • Support day-to-day Construction Administration activities under the direction of the Project Manager and/or Architect.
  • Coordinate the review and tracking of shop drawings, product data, samples, and other construction submittals.
  • Coordinate and track Requests for Information (RFIs) and assist the project team in preparing responses.
  • Assist with the preparation, issuance, and tracking of Site Instructions, Supplemental Instructions, Change Orders, Change Directives, and other contract documentation.
  • Maintain organized logs for RFIs, submittals, changes, deficiencies, and other construction-related documentation.
  • Participate in construction meetings and prepare meeting agendas, minutes, action-item logs, and follow-up correspondence.
  • Attend site visits with senior team members and assist with documenting construction progress, observations, deficiencies, and outstanding work.
  • Assist with deficiency reviews, substantial performance activities, project closeout, and warranty-related documentation.
  • Coordinate construction-related questions with architectural and engineering teams, consultants, contractors, and client representatives.
  • Follow up with project team members, consultants, and contractors to ensure required information, actions, and deliverables are completed within established timelines.

Project Coordination & Management

  • Coordinate day-to-day project activities and support Project Managers in the planning and delivery of architectural and multidisciplinary projects.
  • Assist with developing and maintaining project schedules, milestones, action items, deliverables, and key decision dates.
  • Coordinate with internal technical teams and external consultants and stakeholders to obtain required information and follow up on outstanding actions.
  • Organize and coordinate project meetings, workshops, conference calls, and other project-related activities.
  • Prepare and maintain project documentation, including meeting agendas, minutes, action-item logs, status reports, presentations, and project correspondence.
  • Monitor project activities and proactively identify potential coordination issues, risks, delays, or outstanding decisions, escalating them to the Project Manager as appropriate.
  • Assist Project Managers with tracking scope, schedule, budget, resources, deliverables, invoices, and overall project performance.
  • Support project administration activities, including change management, invoicing, forecasting, and consultant coordination.
  • Assist in the preparation of project presentations, reports, and communications for internal and external stakeholders.
  • Maintain organized project files, records, databases, and project management systems in accordance with company and project requirements.
  • Take initiative to identify opportunities to improve project coordination, communication, workflows, and efficiency.
  • Take on progressively greater project management responsibilities as experience and capabilities develop.

Architectural & Technical Coordination

  • Assist with the preparation and coordination of architectural drawings, details, specifications, and other project documentation.
  • Coordinate architectural information with structural, mechanical, electrical, civil, and other disciplines.
  • Review drawings and consultant information for interdisciplinary coordination and identify potential conflicts or missing information.
  • Support drawing reviews and quality-control processes.
  • Assist in resolving technical and coordination issues during design and construction.
  • Work within established BIM, document-management, and project delivery standards.
  • Maintain accurate and organized project records throughout the design and construction process.
