  • Monitor data integrity and identify incomplete, inconsistent, inaccurate, or unusual information requiring follow-up.
  • Develop and maintain standardized tracking systems for referrals, workshops, program evaluations, service activities, outcomes, and other reporting requirements.
  • Generate regular and ad hoc reports for leadership and program teams.
  • Analyze trends and patterns in organizational data to identify opportunities, risks, recurring issues, and areas requiring attention.
  • Translate data into clear, practical information that supports decision-making, service improvement, planning, and organizational strategy.
  • Work with program teams to help employees understand their data, reporting requirements, and performance information.
  • Develop practical tracking, reporting, and administrative solutions based on program and organizational needs.
  • Continuously look for opportunities to improve the efficiency, consistency, and usefulness of data collection and reporting processes.

Compliance & Quality Assurance

  • Monitor data quality, documentation, tracking systems, and established processes to support compliance with applicable program and organizational requirements.
  • Identify recurring errors, missing documentation, inconsistencies, and process gaps and coordinate appropriate follow-up.
  • Help ensure staff understand and consistently apply established documentation and reporting requirements.
  • Reinforce organizational privacy, confidentiality, data-security, and information-handling requirements.
  • Maintain the confidentiality and security of sensitive client, employee, financial, and organizational information.
  • Support management during reporting deadlines, reviews, audits, and other activities requiring data validation or documentation.
  • Liaise with external data-system managers to investigate and resolve routine system issues and report significant findings to management.

Financial & Administrative Tracking

  • Collaborate with the Finance team to establish and maintain effective voucher and vendor-payment tracking systems.
  • Receive requests, invoices, and supporting documentation and ensure information is accurately recorded and tracked.
  • Receive collected pay stubs and track required information in accordance with established processes.
  • Support the reconciliation and verification of information related to program expenditures and administrative tracking.
  • Approve funding requests for flow-through expenditures where authority has been formally delegated and within established approval limits and procedures.

Team Lead & Staff Support

  • Provide day-to-day guidance and support to staff regarding data entry, documentation, tracking systems, reporting requirements, and established program processes.
  • Help coordinate data, reporting, and compliance priorities across programs and support staff in meeting required timelines.
  • Work directly with employees to understand the causes of identified data or documentation issues and provide coaching, clarification, or additional training where appropriate.
  • Follow up on identified data and compliance issues to help ensure required corrections and actions are completed.
  • Reinforce established expectations while maintaining a constructive, respectful, and solutions-focused approach.
  • Support the orientation and day-to-day onboarding of new employees regarding data systems, documentation practices, tracking tools, and reporting requirements.
  • Support the implementation of new systems, procedures, reporting requirements, and program changes and help employees adapt to changing expectations.
  • Provide practical leadership during reporting deadlines, audits, system changes, and other periods requiring increased coordination and follow-up.
  • Promote consistency, accountability, collaboration, and continuous improvement across programs.
  • Exercise initiative and sound judgment in resolving routine issues and escalate significant compliance, privacy, financial, employee, or operational concerns to the appropriate manager.
  • Identify opportunities to improve processes and work collaboratively with staff and management to implement practical solutions.

Formal performance management, disciplinary action, approval of employee leave, and other formal management decisions remain the responsibility of the appropriate manager unless specific authority has been formally delegated.

Organizational & Community Support

  • Participate in job fairs, speaking engagements, special projects, professional associations, and other activities that promote META Employment Services.
  • Collaborate with departments across the organization on data, systems, reporting, and operational improvement initiatives.
  • Perform other duties as assigned by the Manager of Programs and Services.

QUALIFICATIONS & EXPERIENCE

  • Completion of post-secondary education in business, data analytics, administration, information management, finance, social sciences, or another related discipline. A combination of relevant education and experience will also be considered.
  • Demonstrated experience working with data systems, data quality, reporting, tracking, or data analysis.
  • Strong analytical skills with the ability to identify trends, inconsistencies, risks, and opportunities within data.
  • Demonstrated ability to turn information and analysis into practical recommendations or operational improvements.
  • Strong understanding of Employment Ontario guidelines and related service-delivery models is considered a strong asset.

  • Comfortable providing constructive feedback, reinforcing expectations, and respectfully addressing situations where commitments, documentation, or established standards are not being met.
  • Strong judgment and the ability to distinguish between issues that can be resolved independently and those requiring management involvement.
  • Demonstrated ability to identify data, compliance, or process problems and develop and implement practical solutions.
  • Strong problem-solving, organization, communication, and time-management skills.
  • Ability to work accurately under pressure, manage competing priorities, and adapt to changing program and organizational requirements.
  • Ability to work independently while building collaborative working relationships across departments.

WHAT SUCCESS LOOKS LIKE

The successful Data & Compliance Coordinator / Team Lead will:

  • Maintain a high level of accuracy and confidence in organizational data and reporting.
  • Spot inconsistencies or emerging issues rather than simply producing reports.
  • Ask questions when information does not make sense and follow issues through to resolution.
  • Help staff understand not only what information must be documented, but why accurate and timely documentation matters.
  • Take initiative to improve inefficient or inconsistent processes rather than waiting for someone else to solve them.
  • Develop practical solutions that make processes easier to follow while maintaining required standards.

  • Build positive working relationships while being comfortable reinforcing expectations and following up when commitments are not met.
  • Help staff become more confident and consistent in their use of systems, data, and documentation.

  • Use technology thoughtfully to improve reporting, workflow, accuracy, and organizational efficiency.
  • Contribute to a culture of accountability, continuous improvement, and data-informed decision-making.

ADDITIONAL REQUIREMENTS

  • Willingness and ability to travel to various META and community locations as required.
