Job Description

Keep quotes accurate, orders moving, and deals on track

Our Deal Desk keeps the path from quote to signed order fast, accurate, and compliant, so our sellers can stay focused on customers.

We’re looking for a Deal Desk Coordinator to join our Ottawa-based Sales Operations team. You’ll work alongside our Deal Desk Specialist and Sales Operations Manager, generating quotes, processing orders, and supporting the approvals queue. It’s a hands-on role with a lot of learning built in: you’ll build a strong foundation in SaaS pricing, deal structure, and contract workflows while being a dependable partner to the field.

If you’re detail-oriented, enjoy working in a process-driven environment, and want to grow a career in Deal Desk and Revenue Operations, this is an excellent opportunity.

What you’ll do

  • Generate quotes – Build accurate quotes in Salesforce CPQ from approved pricing, templates, and deal parameters, and resolve questions from sellers quickly and clearly.

  • Process orders and bookings – Validate closed-won opportunities, confirm that signed order forms match the quote and the Salesforce record, and hand off clean orders to Finance for billing and booking.

  • Support the approvals queue – Route deals through the correct approval workflows, track status, follow up with approvers, and keep sellers informed on where their deal stands.

  • Handle standard renewals and amendments – Prepare quotes and order paperwork for straightforward renewals, add-ons, and co-terms, escalating anything non-standard to the Deal Desk Specialist.

  • Respond to field requests – Triage and resolve Deal Desk cases and requests from Account Executives and Account Managers, escalating pricing, discount, and contract-term questions to the Specialist when needed.

  • Work smarter with AI – Use AI tools to speed up everyday tasks and make your workflows more efficient. Review every output, share useful prompts with the team, and follow Assent’s guidelines for responsible AI use and for handling customer and pricing data.

  • Check quotes and orders with AI – Use AI to cross-check quotes, signed order forms, and Salesforce records for mismatches before orders are handed to Finance, escalating discrepancies to the Deal Desk Specialist.

  • Triage requests with AI – Use AI to categorize incoming Deal Desk cases and draft first responses to common questions from Account Executives and Account Managers, reviewing every response before it is sent.

  • Keep deal data clean – Maintain accurate Account, Contact, Opportunity, and quote data in Salesforce, and run regular checks to catch missing or inconsistent deal information.

  • Pull and organize data – Use Salesforce reports and Google Sheets to track quote volume, turnaround times, and order status, and to answer questions from the field and internal teams.

  • Document processes – Help create and maintain SOPs, quote and order checklists, and knowledge-base articles that make Deal Desk processes easy to follow, using AI to help draft and refresh them.

  • Partner with global teammates – Work closely with Sales Operations, Finance, and Legal colleagues to keep orders moving and to learn how deals are structured, priced, and approved.

  • Support special projects – Contribute to initiatives such as pricing updates, CRM cleanup, and process improvements as needed.

Qualifications

What you bring

  • 1–2 years of experience in a Deal Desk, Sales Operations, Order Management, or Sales Support role, preferably in a B2B SaaS or technology company.

  • Hands-on experience creating quotes or order forms, and a working understanding of subscription pricing, discounts, and renewals.

  • Hands-on Salesforce CPQ experience (required), including building and editing quotes, along with working knowledge of Salesforce Sales Cloud objects such as Accounts, Opportunities, and quotes.

  • Proficiency with Google Workspace (Docs, Sheets, Slides) and solid data skills, including lookups, filters, pivot tables, and formulas.

  • Exposure to generative AI tools such as ChatGPT and Claude, with examples of using them to make a process or workflow more efficient, and good judgment about when to verify outputs and what data is appropriate to share.

  • High attention to detail and a commitment to accuracy; you double-check your work and catch discrepancies before they reach a customer.

  • Strong organizational and time-management skills; you can juggle a steady queue of requests and hit tight turnaround times, especially at quarter end.

  • Clear written and verbal communication, with the ability to follow instructions, document your work, and ask clarifying questions early.

  • A collaborative, curious, and coachable mindset; you’re eager to learn deal structuring, pricing, and contract basics from experienced teammates.

  • Bachelor’s degree in Business, Finance, Information Systems, or a related field, or equivalent work experience.

Why Assent?

At Assent, operational excellence is more than efficiency; it’s how we empower our teams to focus on what matters. As a Deal Desk Coordinator, you’ll be part of a growing, global Sales Operations function with real business impact every day. We value curiosity, humility, and shared success. Join us and help power smarter, more sustainable growth at Assent.
