  • Collect, review, and follow up on packing slips, receiving documents, and other required records.

  • Confirm that receiving information is complete and work with project teams, buyers, suppliers, or site materials personnel to resolve missing or unclear information.

  • Maintain accurate electronic material records and attach supporting documents, including packing slips, material test reports, heat numbers, serial numbers, and other required documentation.

  • Support the preparation and maintenance of preliminary and final material receiving reports.

  • Assist with the investigation and documentation of receiving discrepancies, shortages, overages, or damaged material.

  • Prepare or update routine materials documentation, including load lists, shipping records, issue records, trackers, and reports.

  • Support invoice verification by locating and confirming receiving documentation when required.

  • Perform other administrative and data-management tasks in support of Materials Management.

Qualifications

  • High school diploma or equivalent required; post-secondary education in business administration, supply chain, logistics, or a related field is considered an asset.

  • Previous administrative, data-entry, warehouse, procurement, or materials experience is considered an asset, but is not required.

  • Comfort using Microsoft Office applications, particularly Outlook and Excel.

  • Experience with materials management, procurement, inventory, or enterprise resource planning systems is considered an asset.

  • Strong digital aptitude and confidence learning and working across multiple systems and data sources.

  • Proficiency with Microsoft Excel, including organizing, filtering, reviewing, and reconciling data; experience with formulas, lookups, or pivot tables is considered an asset.

  • Good organization, follow-up, and written and verbal communication skills.

  • Ability to manage multiple routine priorities and work effectively with project and functional teams.

What Success looks like

  • Material receipts and records are entered accurately and on time.

  • Information is entered consistently across systems, and Excel-based trackers and reports are accurate, current, and usable by project teams.

  • Missing documentation is identified and followed through to resolution.
