Job description

Who We Are

At KEV, we help school districts eliminate the school finance blind spot. Our platform gives district finance teams real-time visibility and traceability into every dollar collected at the school level - whether it's cash, cheque, or digital. From field trips to fundraisers, we help them manage every dollar with confidence. More than 27,000 schools across North America trust KEV to manage over $8 billion annually. By unifying payments, accounting, and reporting, KEV simplifies life for bookkeepers, builds trust with parents, and gives finance leaders the oversight their current systems cannot. It's how we help schools stay compliant, reduce risk, and focus on what matters most, student success.

Backed by Five Arrows, the PE arm of Rothschild & Co., KEV is investing more than ever to support K-12 in a world of tighter budgets, rising scrutiny, and fast-changing tech. We're headquartered in Toronto, with offices across North America.

If you're excited by the idea of building tech that protects schools, empowers finance teams, and improves education through better systems, KEV is the place for you.

This role is for an active vacancy.

About the Role

We're looking for a Billing and Collections Specialist to provide a full range of support to the revenue team, including invoicing, cash receipts posting and collections. This is a collections-forward role: your core focus is to keep our accounts receivable healthy, while also supporting billing and invoicing as the needs of the team shift.

You'll work independently and chase items to resolution without waiting to be asked. You'll report to the Revenue Manager, Finance and collaborate closely with our Customer Success teams.

What You'll Do

  • Own collections on past-due and upcoming invoices — reach out by phone and email, follow up persistently, report weekly on aging and progress, and escalate at-risk accounts in a timely way.
  • Be the customer-facing point of contact for billing and collections inquiries — resolve discrepancies and disputes with composure, even when the conversation is a difficult one.
  • Prepare and adjust invoices based on a review of customer contracts, in collaboration with your manager.
  • Post and verify customer payments and other accounts receivable transactions — keep records accurate and up to date.
  • Support daily transactional reconciliations — investigate reconciling items, ensure appropriate funding of customer accounts, and escalate issues as needed.
  • Support the finance team through month-end and year-end close, and during internal and external audits.
  • Spot and act on opportunities to improve our billing and collections processes.
  • Take on special projects and other responsibilities as they come up.

Who You Are

Four things matter most for this role. If you bring these, we're flexible on the rest.

  • A true self-starter. You work independently, manage your own follow-ups, and drive items to resolution without being prompted. This is the heart of the role.
  • Strong written and email communication. You write clearly, professionally, and concisely, and you can hold a firm but respectful tone in a high-volume inbox.
  • Customer-facing collections experience. You've done direct collections before and you're comfortable leading conversations that customers don't always enjoy - staying calm, empathetic, and effective.
  • Accurate and methodical. You take care to get the details right the first time, work through reconciliations systematically, and keep clean, well-documented records while managing multiple priorities and deadlines.

Nice to have (but not required - we'll teach the rest):

  • Experience in a SaaS or fintech company, ideally within K-12 education.
  • A university or college diploma in accounting, finance, or a related field.
  • 2-4 years of proven experience in collections, billings and/or accounts receivable
  • Familiarity with NetSuite, Salesforce, Excel, and comfort using AI tools like Claude.

Salary Range: $65,000 - $75,000. This range reflects expected compensation at the time of posting. Final offers may vary based on skills, experience, location, and internal equity.
