The right candidate will have an organized and efficient work ethic and enjoy working as part of a goal-oriented and cohesive team in support of KCC's mission. We value individuals possessing a growth mindset. If you are interested in utilizing your skills in a truly rewarding and meaningful capacity, then this might be the place for you.
Kayla's Children Centre is looking for a highly organized Camp Administrative Coordinator to keep Camp18 and Camp Lionheart running smoothly all year. You’ll be the go-to administrative point person for camp, keeping information, communication, deadlines and processes organized across every area of camp.
KCC has dedicated Registration, HR, Payroll and Accounts Payable departments. This role doesn't replace them. Instead, you'll work closely with each one to make sure camp-related processes are completed, information gets where it needs to go, and nothing falls through the cracks.
This is a year-round role, with responsibilities increasing significantly in the months leading up to and during the summer camp season. The position supports both Camp18 Day Camp and Camp Lionheart Overnight Camp, reports to the Camp Director and works closely with the Associate Camp Director.
What You'll Do
- Manage day-to-day camp administration and support Camp leadership
- Act as the central point of contact for camp-related administrative questions and follow-up
- Coordinate camp calendars, meetings, deadlines and key dates
- Support camper registration with the Registration team, including tracking outstanding forms and information
- Work with HR on camp staff applications, onboarding requirements, contracts and documentation
- Work with Payroll and Accounts Payable on camp-related submissions, invoices, reimbursements and documentation
- Keep camper and staff records accurate, up to date and confidential across camp platforms
- Support parent and staff communications, including emails, forms, reminders and information packages
- Help prepare for camper intake, staff training and camp orientation
- Coordinate the administrative side of transportation, trips, special programs and camp events
- Help with ordering, supplies and other operational needs
- Keep information flowing between Camp, Medical, Therapy, Behaviour, HR, Registration, Finance and other KCC departments
- Provide on-site administrative support during the camp season
- Lead end-of-season administrative wrap-up, documentation and follow-up
- Support family programming and events throughout the year
Who You Are
You're highly organized, take initiative and are comfortable with a lot of moving pieces at once. Camp changes quickly, so you can problem-solve, follow up and see what needs to happen next without waiting to be asked. You are:
- Extremely organized and detail-oriented
- A clear, confident communicator, in writing and in person
- Comfortable following up with people and keeping others on track
- Able to juggle multiple priorities and deadlines
- Tech-savvy and quick to learn new platforms
- Warm and professional with families and staff
- A collaborative team player across departments
- Flexible and calm in a busy camp environment
- Discreet with confidential information
- Someone who owns tasks and sees them through from start to finish
What You Bring
- 2+ years of administrative or coordination experience; camp, school or non-profit experience is an asset
- Strong skills with email, spreadsheets and online platforms
- Comfort working in an Orthodox Jewish environment and following KCC's dress code and policies
- Standard First Aid and CPR-C, or willingness to obtain before the camp season
- A satisfactory Vulnerable Sector Check is a condition of employment
Details
- Position: Full-time, permanent (new position)
- Hours: Monday to Friday, 9:00 to 5:00 for most of the year. During the camp season the schedule includes on-site work
- Location: 36 Atkinson Avenue, Thornhill, ON
- Salary: $45,000 to $60,000 per year, based on experience
- Benefits: Extended health and dental, paid statutory holidays, Jewish holidays off, and paid vacation
