Job description

Accomsure is the first Canadian full service Additional Living Expenses (ALE) Specialist. Accomsure manages the short term and long-term ALE requirements for policyholders allowing the policyholder the ability to focus on their basic needs while freeing up adjusters and Insurance Companies to focus on the claim.

Job Description: Corporate Coordinator

We are seeking a highly organized, detail-oriented Corporate Coordinator to support the day-to-day administrative operations of our Corporate Department. This is a process-driven role built around accuracy, consistency, and reliable turnaround on recurring tasks, ideal for someone who takes genuine satisfaction in doing repeatable work correctly every time, rather than someone looking to shape strategy or build a heavy external network.

Key Responsibilities

New Starter & HR Administration

  • Book headshots and print ID badges for new starters
  • Request background checks for new starters
  • Update email distribution lists on new arrivals /departures
  • Update the org chart following organizational changes
  • Post jobs on internal and external recruitment sites as notified

Recognition & Reporting

  • Process SureBucks nominations into Collage HR and send recognition messages via Teams
  • Complete monthly vacation accrual reporting on the 1st of each month
  • Complete hourly timesheet reporting on the 11th and 26th of each month
  • Initial processing of partner report requests
  • Complete your own expense reports within Finance's set timeline

Travel Coordination

  • Process travel and sponsorship requests: compare and book flights, hotels, car hire, and ferries and log bookings via MS Form; escalating to the Director when a request exceeds standard targets
  • Identify conference speaking opportunities at least twice yearly, reviewed with the Director

Office & Event Support

  • Monitor and clear the corporate inbox daily, flagging or resolving items
  • Order annual swag within set out budgets, reviewing choices with the Director beforehand
  • Assist with office and Town Hall event logistics as needed
  • May be required to assist or escalate IT and Marketing matters when their line manager is on vacation

What We're Looking For

  • Strong attention to detail and comfort with high-volume, repetitive data entry, this role involves entering and cross-checking information across multiple systems daily
  • A process-follower by nature: able to work within defined SLAs and fixed monthly deadlines without needing to redesign the approach
  • Trustworthy with sensitive employee data (background checks, timesheets, vacation records)
  • Professional and courteous in limited, transactional interactions (email, Teams, occasional booking calls), this is not a relationship-building or client-facing role, so a naturally understated, task-focused style suits it well; equally, the role requires enough comfort with routine written and verbal communication that basic email/Teams exchanges and short calls (e.g., confirming a booking) feel comfortable rather than difficult

Qualifications

  • Proficiency with Microsoft Office and comfort learning systems.
  • Prior administrative or data entry experience preferred
  • Excellent written English. French language skills are a bonus but not essential
