Event & Operations Coordinator

The Dunes Golf & Winter Club in Grande Prairie is looking for an organized, creative, and highly capable Event & Operations Coordinator to join our team.

This is a hands-on role for someone who enjoys bringing people, events, communication, and details together. You will be at the centre of our event coordination, working with clients, department managers, vendors, sponsors, and our internal team to make sure events are well planned, well communicated, and professionally executed. The role also supports The Dunes' marketing and brand presence, internal systems, advertising, and operational processes.

What You'll Be Responsible For

Event Coordination & Client Management

You will coordinate tournaments, hosted events, club programs, and other functions from initial inquiry through post-event follow-up.

This includes:

  • Managing the Master Event Calendar and coordinating dates across departments
  • Acting as the primary contact for event clients
  • Coordinating event pricing, schedules, requirements, and deliverables
  • Preparing and distributing function sheets, on-course sheets, checklists, and event documentation
  • Coordinating with Golf Operations, Pro Shop, Food & Beverage, Administration, and Ice/Snow Operations
  • Maintaining accurate master event files and ensuring changes are communicated to everyone involved
  • Supporting event packages, sponsorship opportunities, and event-related sales
  • Tracking inquiries, bookings, and follow-ups

Marketing, Brand & Communications

You will help ensure The Dunes presents a consistent and professional image across all platforms and communications.

Responsibilities include:

  • Maintaining brand consistency across events, signage, advertising, promotions, and communications
  • Updating website content and event information
  • Managing social media platforms including Instagram, Facebook, Google, and Gallus Golf
  • Coordinating newsletters, email communications, public notices, and promotional materials
  • Working with external designers, advertising partners, and vendors
  • Coordinating print, radio, digital, and on-site advertising
  • Managing and tracking advertising and promotional spending against approved budgets
  • Supporting sponsorship promotions and seasonal campaigns

Club Programs & Hosted Events

The Coordinator will take a lead coordination role for several key programs, including:

  • Ladies Events – registration, schedules, sponsorships, promotions, budgets, prizing, and event logistics
  • Hosted and third-party events – client coordination, contracts, documentation, internal communication, and post-event follow-up
  • Junior Golf – program scheduling, communication, promotion, and package coordination

Systems & Operational Support

A key part of this position is helping The Dunes operate more consistently and efficiently. You will:

  • Maintain shared drives, master files, templates, checklists, and event documentation
  • Support booking, scheduling, and internal communication systems
  • Develop and update Standard Operating Procedures (SOPs)
  • Work with department managers to improve processes and communication between teams
  • Identify opportunities to streamline systems and improve operational coordination
  • Ensure departments have timely access to accurate schedules and event information

What We're Looking For

The right person for this role is someone who can see both the big picture and the small details. You are comfortable managing several moving pieces at once and understand that successful events depend on communication, organization, and follow-through.

You will ideally bring:

  • Experience in event coordination, hospitality, marketing, administration, operations, or a related role
  • Strong organizational and project-management skills
  • Excellent written and verbal communication
  • Confidence working directly with clients, vendors, sponsors, and internal teams
  • Experience with social media and digital communications
  • Strong computer skills and comfort learning new systems
  • The ability to manage multiple deadlines and changing priorities
  • Strong attention to detail and documentation
  • A collaborative approach and willingness to work across departments Initiative and the ability to identify problems and develop practical solutions
  • Experience in golf, hospitality, recreation, tournaments, or club operations would be an asset but is not required.
