Position Summary

PrimeFab is seeking a highly organized and proactive Operations Administrator to manage the day-to-day administrative functions across both our panelized wood structure and architectural aluminum divisions. In this cross-functional role, you will be the organizational backbone of our operations, ensuring that production paperwork, deadlines, file management, and project submittals are accurately tracked and seamlessly executed. • Production Paperwork: Generate, process, distribute, and archive all necessary daily production documentation, quality checklists, and compliance forms.
  • Log Maintenance: Maintain and update production and operational logs daily to ensure real-time visibility into project statuses for both sides of the business.
  • Submittal Management: Coordinate, track, and log all project submittals, utilizing markup and document software to ensure accurate routing and timely approvals.

Workflow & Deadline Management

  • Proactive Follow-Up: Chase down outstanding items, missing documentation, and pending approvals from internal team members, vendors, or clients.
  • Quality Assurance: Audit tracking sheets, digital folders, and logs weekly to ensure data integrity and prevent operational bottlenecks.

Cross-Divisional Administration

  • Day-to-Day Support: Serve as the primary administrative point of contact for both the wood and aluminum divisions, keeping information flowing smoothly between teams.
  • Process Improvement: Identify opportunities to streamline paperwork and tracking processes to improve efficiency across the facility.

Qualifications & Skills

  • Experience: 2+ years of experience in administrative support, project coordination, document control, or production administration (experience in manufacturing or construction is highly preferred).

  • Technical Proficiency: Highly proficient in Microsoft 365 (Teams, Planner, Outlook, Excel) and comfortable working with PDF/document markup software like Bluebeam Revu.
