  • Post and refresh approved vacancies, review applications and identify candidates against agreed hiring criteria.
  • Conduct initial screening calls, document experience and availability, and refer suitable candidates to the Employee Services Coordinator.
  • Arrange interviews and reference checks. Keep candidates informed, follow up promptly and help prevent strong applicants from falling out of the process.
  • Maintain accurate candidate records and recruiting trackers in the company’s systems. Flag hiring gaps, stalled applications and decisions needed.
  • Assist with approved offer documents, new employee paperwork and first day arrangements. Hiring decisions and employment terms require management approval.

Keep employee services organized

  • Prepare correspondence, arrange meetings and support office administration. Receive routine requests and track follow up with the appropriate owner.
  • Help schedule field employee reviews, collect completed forms and track review dates and agreed actions under the Coordinator’s direction.

Support the wider group

  • Assist the Manager of Health and Safety with training bookings, certificate collection, reminders and record updates.
  • Support the Dispatcher with records and contact information. Learn the scheduling process and provide assigned backup.
  • Help collect information for payroll, timekeeping and benefits inquiries and route questions to the responsible staff.
  • Raise competing deadlines, missing information and overdue actions promptly. The senior management team sets priorities across recruiting and group support.

What you bring

  • Confidence starting conversations, asking useful questions and following up with candidates.
  • Some experience in recruiting, customer service, administration or another role involving regular contact with people. Recruiting experience is an asset, and we welcome applicants ready to develop these skills.
  • Strong organization, accurate recordkeeping and the ability to keep multiple candidates and deadlines moving.
  • Clear communication with tradespeople, candidates, supervisors and office colleagues.
  • Discretion with personal information and sound judgment about when to escalate a question.
  • Comfort with Outlook, Excel and Teams, and a willingness to learn Asana, Pipedrive and our recruiting and scheduling tools.
  • Experience in skilled trades, industrial contracting or construction is an asset. Education in human resources, business or office administration is helpful.

Guidance and priorities

The senior management team will guide your work, with support and coaching from the Employee Services Coordinator. Recruiting remains a core priority alongside dependable administrative support. During assigned dispatch coverage, accurate assignments and timely communication take priority, with recruiting coverage and follow up coordinated with the senior management team.

How to apply

Apply with your resume and a short introduction explaining your interest in recruiting and the people skills you would bring. Tell us about a time you kept several conversations or deadlines moving through consistent follow up.
