Job Description
McCarthy Tétrault is a leading Canadian law firm offering a full suite of legal and business solutions to clients in Canada and around the world. With offices in Toronto, Montréal, Québec City, Calgary and Vancouver, we provide challenging and rewarding career opportunities across the country. Recognized as one of Canada’s Top 100 Employers for eleven consecutive years and one of Canada’s Best Diversity Employers for fourteen consecutive years, our culture is guided by The McCarthy Way—our shared approach to working with clients and with each other.
The McCarthy Way is built on four core elements: Excellence, through attracting and developing top talent committed to delivering on our Client Commitment; Collaboration, through seamless, integrated teamwork; Inclusion, through eliminating barriers to belonging and success; and Innovation, through delivering maximum value by embracing leading-edge technologies and approaches. Together, these principles shape how we work, lead, and grow—every day.
We are recruiting for a Bilingual Coordinator, Professional Journey Office (PJO) to join our team in our Toronto or Montreal office. The successful candidate must have a minimum of two to three years of relevant experience, ideally in a professional services environment, and will be responsible for coordinating the delivery of the Professional Journey Office’s coaching, mentoring and alumni programs. McCarthy Tétrault employees benefit from a hybrid work environment.
The incumbent of this position will be part of a team where they will be required to work on communications and requests in English or French for lawyers, professionals, or suppliers who understand and communicate only in English or French. Since communications and requests may be written in either English or French, it is necessary, for the proper functioning of the operations of our PJO group, to have bilingual staff available at all times to respond to requests. Bilingualism (French and English) is therefore a requirement for this position.
As a Bilingual Coordinator, Professional Journey Office, you will be:
PJO Coordination, Operations & Communications
Serving as a central point of coordination for Professional Journey Office (PJO) priorities and deliverables. Duties include:
- Working with program participants, Firm leaders, Professional Resources colleagues, vendors and alumni to keep PJO initiatives on track.
- Maintaining and improving integrated workflows, calendars, trackers, action logs, SOPs, templates and intake processes; monitoring timelines and follow-up.
- Managing vendor and procurement requirements, including agreements, onboarding, purchase orders and invoicing.
- Preparing agendas, briefing materials, presentations, speaking notes, status updates, data summaries and leadership reports as required.
- Preparing program communications and updates and coordinating day-to-day work with the PJO Administrative Assistant.
- Providing support for other duties and special projects as assigned.
Coaching & Mentoring Programs
Coordinating the delivery of the PJO’s coaching and mentoring programs. Duties include:
- Coordinating individual coaching engagements, from intake through coach matching and close-out.
- Coordinating cohort-based coaching programs, including participant communications, coach matching, check-ins and evaluations.
- Maintaining coach and vendor records and supporting program tracking and reporting.
- Supporting the development and delivery of new programming, including research and program resources.
- Supporting coaching and mentoring skills training in partnership with MT Academy, and coordinating National Mentoring Month, the annual Mentoring Awards and enhancements to the mentoring program, including planning, stakeholder and facilitator coordination, communications, program resources and evaluation.
Alumni Program
Coordinating the Firm’s alumni and the departure-alumni processes. Duties include:
- Supporting the Firm’s alumni committee with agendas, meeting materials and action tracking.
- Working with internal teams across our offices to support alumni events, communications and newsletters.
- Supporting alumni engagement initiatives, including related technology and content.
- Supporting career resources for our lawyers and alumni.
- Coordinating all aspects of the departure-to-alumni process.
As our ideal candidate, you will distinguish yourself by the following profile:
Post-secondary education in Human Resources, Business Administration, or a related field.
A minimum of three years of relevant experience, ideally gained in a professional services (or similar) environment.
Experience coordinating programs, vendors or events; experience supporting coaching, mentoring, alumni or talent programs is an asset.
Experience with procurement and invoicing systems and advanced Excel skills is an asset.
Fluent bilingualism (French/English) an asset, though not required.
Excellent organizational, time management and interpersonal skills, with exceptional client service.
Excellent written and verbal communication skills, including the ability to draft clear, concise communications, summaries and reports.
Strong project coordination skills, with the ability to manage several programs and vendor relationships at once.
Demonstrated ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment.
Ability to work with minimal supervision, manage competing priorities and adapt to changing needs.
Flexibility for some evening work during heavy workload periods, including alumni and mentoring events.
As a member of the McCarthy team, you will have access to:
- Outstanding benefits from day one, including insurance premiums paid by the Firm and wellness and technology reimbursements.
- Competitive compensation, paid overtimeand generous time off, including a day off to volunteer and a day off for your birthday.
- A commitment to professional development and growth opportunities for our people at all levels, supported by a culture that fully embraces and encourages two-way feedback.
- Strong community involvement and a commitment to equity, diversity and inclusion.
- A collaborative, cohesive culture that connects lawyers and business teams through collective purpose.
