Job description

Human Resources Coordinator

GCL Environmental Ltd. | Calgary, Alberta

GCL Environmental is looking for a highly organized, dependable Human Resources Coordinator who loves keeping things moving, getting the details right, and following work through to completion.

This is a hands-on HR coordination role for someone with 2–3 years of HR experience who is building toward or actively pursuing their CPHR designation. You will support the employee lifecycle from recruitment and onboarding through training, employee records, HR administration and internal initiatives.

If you are someone who naturally creates order, keeps track of commitments, asks good questions, and gets satisfaction from crossing things off the list properly, you may fit very well here.

What You'll Do

Recruitment & Hiring

  • Coordinate job postings, applicants, interviews and candidate communication.
  • Maintain candidate tracking and recruitment documentation.
  • Schedule interviews and support hiring managers throughout the recruitment process.
  • Prepare offer documentation once hiring decisions are approved.
  • Coordinate career fairs, student recruitment and other recruitment activities.
  • Help ensure candidates receive a professional and responsive experience.

Onboarding & Employee Administration

  • Coordinate onboarding and offboarding activities.
  • Prepare employment documentation and onboarding packages.
  • Maintain accurate employee records in our HR systems.
  • Coordinate employee orientations and required documentation.
  • Track policy acknowledgements, training requirements and other employee records.
  • Respond to routine employee questions and escalate issues when appropriate.

Training & Development

  • Coordinate internal and external training.
  • Maintain training and competency records.
  • Track upcoming expiries, outstanding requirements and completion.
  • Support administration of our learning management systems and training programs.
  • Help managers and employees stay organized around development commitments.

HR Programs & Projects

  • Support updates to policies, procedures, job descriptions and HR documentation.
  • Maintain organized HR files, templates and SharePoint resources.
  • Support employee engagement, communication and culture initiatives.
  • Assist with HR projects, process improvements and system implementations.
  • Follow up on assigned actions and make sure commitments are completed.

Safety & Corporate Services Support

  • Support training and compliance record administration.
  • Assist with JHSC administration and documentation.
  • Help track routine corrective actions and follow-up items.
  • Work closely with HR, Safety, Operations and Corporate Services on shared initiatives.

What We're Looking For

You don't need to be the loudest person in the room. You do need to be someone people can rely on.

The person who will thrive in this role is:

  • Highly organized and comfortable managing many moving pieces at once.
  • Accountable — when you say you will do something, it gets done.
  • Detail-oriented without losing sight of deadlines or the bigger objective.
  • Persistent about following work through to completion.
  • Thoughtful and analytical when reviewing information or solving problems.
  • Comfortable asking questions when something doesn't make sense.
  • Able to work independently once expectations and priorities are clear.
  • Calm, professional and discreet when handling confidential information.
  • Comfortable working with different personalities and communication styles.
  • Adaptable when priorities, processes or systems change.
  • Interested in finding more efficient ways to organize and complete work.

You'll Be Especially Successful Here If You…

  • Keep your own follow-up list without needing someone else to remind you.
  • Notice when information is missing, inconsistent or doesn't quite make sense.
  • Like creating structure around work that could otherwise become messy.
  • Can distinguish between urgent, important and nice to have.
  • Finish the administrative details after everyone else has moved on to the next topic.
  • Take pride in producing accurate, professional work.
  • Are comfortable saying, “I don't know yet, but I'll find out.”
  • Enjoy becoming the person others trust to know where something stands.

Experience & Qualifications

  • 2–3 years of progressive Human Resources experience, ideally in an HR Coordinator or similar role.
  • CPHR designation, CPHR Candidate status, or actively working toward the CPHR designation.
  • Post-secondary education in Human Resources, Business Administration or a related field.
  • Practical experience supporting recruitment, onboarding, employee documentation and HR administration.
  • Strong Microsoft 365 skills, including Outlook, Teams, Word and Excel.
  • Experience using an HRIS, ATS, LMS, SharePoint or similar business systems.
  • Strong written communication and documentation skills.
  • Experience handling confidential employee and business information.
  • Working knowledge of Alberta employment standards and HR practices is an asset.
  • Experience in consulting, professional services, environmental, engineering or another project-based organization is an asset.

How We Work

GCL is a growing environmental consulting company supporting upstream oil and gas projects throughout Alberta and Saskatchewan.

Our culture is built around Flexibility, Innovation, Resiliency and Entrepreneurship — FIRE.

That means we value people who can work within good processes while also recognizing when something can be improved. We expect people to take ownership, communicate openly, help each other and continuously improve how we work.

This isn't a role where you'll spend your day waiting for instructions. You'll have support and clear priorities, but you'll also be expected to manage your responsibilities, identify what needs attention and move work forward.

Why This Role Matters

HR coordination touches almost every employee at GCL.

A well-organized onboarding experience matters. Accurate employee records matter. Following up on a training requirement matters. Responding to a candidate matters. Closing the loop on something a manager requested matters.

Individually, many of these things look small.

Together, they make a very big difference to how well our company operates and how employees experience GCL.

We're looking for someone who understands that — and takes pride in getting those things done well.
