Job Summary:

The Sales and Solutions Coordinator plays a critical role supporting the sales team and sits at the centre of the customer experience — managing orders from first inquiry through final approval, into production, and out the door on time. This role involves coordinating sales processes, managing customer inquiries, preparing quotes, and developing tailored solutions to meet customer needs. It requires someone with strong communication skills who can keep customers informed and cross-functional teams aligned, combined with practical project management instincts to juggle multiple orders, build work-back timelines, and anticipate risks before they impact deadlines. The ideal candidate is equally comfortable communicating with customers and navigating internal systems, with a sharp eye for detail and the ability to keep multiple orders moving simultaneously to ensure overall client satisfaction.

Location: In Office; Monday to Friday
Salary Range: $55,000 - $65,000/year based on experience

Responsibilities:

  • Manage the full order lifecycle from intake to delivery — gathering customer requirements, coordinating artwork and proofs, facilitating approval rounds, entering confirmed orders into Microsoft Dynamics, and driving each order to on-time completion.
  • Serve as the primary point of contact for customers throughout the order process — providing proactive status updates, answering questions clearly, and resolving issues quickly and professionally.
  • Coordinate across internal production, design, and sales teams — building work-back schedules, tracking milestones, and communicating changes so nothing falls through the cracks.
  • Request, review, and relay proofs between internal teams and customers, ensuring accuracy and clarity before sign-off.
  • Source products outside Entripy's standard catalogue to meet specific customer needs, including obtaining supplier pricing and confirming lead times.
  • Maintain accurate order records and status updates within the ERP system.
  • Anticipate risks to timelines and flag them early, working with production and vendors to keep orders on track.
  • Identify opportunities to improve order flow, communication, and coordination processes.

Skills and Qualifications:

  • Excellent written and verbal communication skills — able to keep customers informed, coordinate across internal teams, and manage difficult conversations with confidence and professionalism.
  • Strong Organizational skills — comfortable managing multiple orders simultaneously, building and tracking timelines, and keeping cross-functional stakeholders aligned.
  • 2+ years of experience in order processing, sales coordination, project coordination, or a related role.
  • Experience with Microsoft Dynamics ERP or a similar order management system.
  • Strong attention to detail and accuracy in data entry.
  • Strong problem-solving instincts and ability to think one step ahead.
  • Ability to multitask and prioritize in a fast-paced, deadline-driven environment.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).

Benefits:

  • Medical/Dental benefits after successful completion of probation period
  • Employee Discounts (so you can rock your personalized attire)
  • Casual dress (leave your business gear at home)
  • Fun social events (we work hard and play hard)
  • Fitness benefits (we will help you get your fit on)
  • Fantastic location (Mississauga/Oakville border)
