Job description

JOIN A COMPANY THAT’S GOING PLACES
We are seeking a Sales Operations Specialist to take ownership of the systems, processes, and insights that support our sales team.

Your mandate is to help our sales representatives stay organized, focus on the right opportunities, and convert more leads into business. You will manage our existing sales operations while identifying and implementing improvements that strengthen accountability, productivity, and sales performance.

HubSpot will be central to your work. We recently introduced a lead pipeline generator and activated HubSpot’s prospecting agent. You will help turn that prospecting activity into a consistent, measurable sales process, ensuring leads are qualified, assigned, followed up on, and moved through the pipeline.

This role requires someone who can manage the details, understand the data, and turn findings into practical improvements.

WHY YOU’LL LOVE WORKING HERE

  • Company Vehicle
  • Sales Commission Plan
  • Extended Health & Dental Benefits
  • Flexible Health Spending Account
  • Employee Family Assistance Program
  • Wealth Benefits – Group Matching RRSP.
  • Generous Paid Time Off Program
  • Company closure between Christmas and New Year.
  • Competitive Wages
  • Exciting Career Progression Paths
  • Making a difference in our communities

WHAT YOU’LL DO

HubSpot and Pipeline Ownership

  • Own day-to-day HubSpot administration, including contact and company records, deal pipelines, workflows, reporting, and automation.
  • Maintain accurate, complete, and organized CRM data, including managing duplicates, enrichment, ownership, and record consistency.
  • Establish and maintain clear standards for lead qualification, deal stages, required information, and next steps.
  • Ensure new leads reach the appropriate sales representative and receive timely follow-up.
  • Monitor our lead generation tools and HubSpot prospecting agent, assessing the quality and progression of generated leads.
  • Work with our AI and technical team to troubleshoot workflows, improve lead enrichment and routing, and verify that automations produce accurate records and appropriate follow-up tasks.

Sales Team Organization and Accountability

  • Establish a consistent rhythm for pipeline reviews, opportunity updates, and follow-up.
  • Help sales representatives prioritize prospecting, active opportunities, and overdue actions.
  • Identify stalled deals, missing information, and missed follow-ups, and work with representatives and sales leadership to address them.
  • Ensure active opportunities have a clear owner, current status, and documented next step.
  • Train and support the team on HubSpot, sales processes, and CRM expectations.
  • Reinforce consistent adoption of agreed processes and provide leadership with visibility into gaps requiring attention.

Analytics and Conversion Improvement

  • Build and maintain dashboards that show lead volume, response times, sales activity, pipeline progression, and conversion rates.
  • Track conversion at each stage, from initial lead through qualification, quoting, and closed business.
  • Analyze performance by lead source, representative, and business line.
  • Assess lead quality and identify where opportunities stall or fall out of the pipeline.
  • Investigate lost opportunities and identify patterns that can inform better qualification, outreach, and follow-up.
  • Recommend practical improvements, implement agreed changes, and measure their impact.
  • Present findings and recommended actions clearly to sales leadership.

Process Improvement and Sales Productivity

  • Manage, document, and improve existing sales processes.
  • Reduce manual administrative work through practical workflows and automation.
  • Identify successful sales practices and turn them into repeatable processes the team can adopt.
  • Clearly document automation requirements and collaborate with technical teams to implement and validate solutions.
  • Improve information flow and handoffs between sales and other teams.
  • Evaluate whether new tools and process changes improve follow-through, productivity, and conversion.

Forecasting and Sales Planning

  • Maintain reliable pipeline information to support sales forecasting.
  • Help leadership understand pipeline health, opportunity timing, and risks to expected results.
  • Use sales data to identify gaps in account coverage and pipeline development.
  • Support sales planning with clear reporting and evidence-based recommendations.

WHAT YOU BRING

  • Demonstrated experience in sales operations, including CRM data hygiene, lead qualification, and pipeline management.
  • Hands-on experience with HubSpot CRM, including contact and company management, deal pipelines, workflows, reporting, and automation.
  • Strong organizational skills and attention to detail when managing large volumes of prospect and company data.
  • Strong analytical skills, with the ability to assess lead quality, identify pipeline bottlenecks, and use performance data to improve conversion rates and sales processes.
  • Ability to troubleshoot CRM workflow issues, clearly document automation requirements, and collaborate with technical teams.
  • Familiarity with AI-powered prospecting tools, automated lead enrichment, and AI-assisted sales workflows.
  • Experience documenting processes, training users, and helping sales teams consistently adopt CRM standards.
  • Comfort using Excel or similar tools to analyze and present information.
  • Clear communication and strong follow-through, with the confidence to reinforce expectations and hold sales representatives accountable.
  • Ability to balance day-to-day operational needs with longer-term improvements.
