Job description

Who we are
You know those big cities that still feel like small towns? Where everyone’s friendly and helps each other out? That’s like Doane Grant Thornton. Except here we’re all professionals and there isn’t a mayor or a general store. What we’re trying to say is that we’re a large and growing professional services firm that still feels like a community. We employ about 3000 people across Canada, and we truly care about our colleagues, our clients and the communities where we work and live. That’s what’s most important to us. We’re building a thriving organization that’s purpose driven and still want to remember what your favourite milkshake flavour is.

As a Senior Administrative Assistant, your responsibilities will include:
• Provide proactive administrative support to Assurance and Tax teams, acting as a key liaison for clients and helping deliver an exceptional client experience.
• Prepare, edit, and proofread professional client communications, reports, proposals, and financial documents to ensure accuracy and quality.
• Prepare financial statements and support the successful delivery of year-end engagements through file administration, document preparation, CaseWare management, and tax filing coordination.
• Coordinate and manage client invoicing, billing administration, WIP reporting, and engagement-related documentation.
• Maintain client records and CRM systems, including new client and engagement setup and monitoring opportunities and leads.
• Manage CRA-related filings and correspondence, ensuring accuracy, compliance, and clear communication with clients.
• Respond to and triage client inquiries, proactively following up on requests and supporting Partners and Managers with client communications.
• Coordinate client meetings, Partner calendars, internal events, professional development sessions, and other office activities.
• Track engagement deadlines, prepare PBC ( Prepared By Client ) requests, and support teams in ensuring timely completion of client work.
• Provide general administrative support, including expense processing, meeting coordination, and other duties as required.

At Doane Grant Thornton, you’ll work with inspiring leaders who support your development, both personally and professionally. This is a place where your insatiable curiosity enables you to think, see and hear from a variety of perspectives, a place where every day is different and having the courage to grow is part of who you are. And when all this comes together, well that’s when the magic happens!
