Acting as a primary point of contact for candidate inquiries and on-site workforce logistics, the Recruiter / Site Coordinator ensures smooth candidate flows, maintains pristine talent records, and fosters a safe, welcoming environment for all on-site employees across professional and white-collar sectors (including Finance, Customer Service, IT, Sales, HR, and Operations).
Advantages
As a Site Coordinator with Randstad Canada, you will benefit from:
- Competitive Compensation: $24.00 to $26.00 per hour, based on experience.
- Workplace Flexibility (Hybrid Role): Enjoy a balanced work schedule with 2–3 days in office per week.
- Long-Term Growth Opportunity: Contract role with strong potential for ongoing extension or permanent conversion based on strong performance, offering a direct pathway to advance your career.
- Financial Perks: Weekly payroll processing, overtime opportunities, and employee referral bonus programs.
- On-Site Amenities: Complimentary employee parking on-site.
Responsibilities
As Site Coordinator, you will be the face of Randstad on-site, a visible, trusted, and proactive presence for both the workforce and the client. Your day-to-day responsibilities will include:
Recruitment & Candidate Selection Support
Source candidate pipelines across multiple platforms (online job boards, professional networks, referral channels, and local outreach).
Review resumes, conduct preliminary phone screens, and schedule candidates for behavioral interviews and skills assessments based on department-specific qualifications.
Coordinate pre-employment compliance steps, including reference checks, background checks, and verification of client-required documentation.
Assist in maintaining an active pool of pre-qualified talent to meet client high-volume staffing fluctuations.
Onboarding & Talent Coordination
Coordinate and facilitate weekly on-site orientation and onboarding sessions tailored to client standards, health and safety policies, and department expectations.
Provide new hires with necessary onboarding materials, badging, legislative labor requirements, and access to internal e-learning and development platforms.
Guide new hires through their first-day logistics to ensure a positive candidate-to-employee transition.
Site Operations & Administration
Maintain accurate tracking of employee attendance, timekeeping, payroll inputs, and leave records in partnership with the Account Manager.
Assist in gathering and compiling data for the Weekly Management Report (WMR) and other operational metrics.
Handle initial employee inquiries regarding payroll, schedules, workplace policies, and benefits, escalating complex relations cases to the Account Manager.
Support health and safety compliance by distributing H&S materials, logging incident reports, and assisting with routine safety audits on-site.
Reporting & Metrics: Track key operational indicators including attendance, productivity, turnover, and safety compliance to report performance data to stakeholders.
Communication & Relationship Building
Maintain daily touchpoints with on-site temporary employees to support engagement, retention, and positive workplace culture.
Assist the Account Manager in liaising with client department supervisors regarding day-to-day schedule updates and urgent staffing fills.
Client Account Management: Partner directly with client site management to anticipate staffing needs, address operational bottlenecks, and communicate proactive solutions.
WHAT SUCCESS LOOKS LIKE
The client sees you as a strategic partner — not a vendor contact.
Your workforce shows up, performs, and stays — because they feel managed with fairness and respect.
Attendance and performance issues are addressed early, not escalated after they become crises.
New hires reach productivity faster because your onboarding is structured and human.
You communicate proactively — your client and your Randstad manager are never surprised.
You use data to back your decisions — not just instinct.
Qualifications
Education & Experience Requirements
Education: College Diploma or equivalent completed.
Experience: 1–2 years of experience in recruitment, candidate sourcing, administrative coordination, or customer service (agency or high-volume staffing environment preferred).
Technical Skills: Fully conversant in Microsoft Office Suite and/or Google (Word, Excel, Outlook) and comfortable learning Applicant Tracking Systems (ATS) and vendor management tools.
Bilingualism: Full professional fluency in both French and English (written and spoken) is required.
Our Client operates across Canada. This company takes all reasonable means to limit the number of positions in Quebec that require knowledge of a language other than French, and only requires this where it is necessary and its existing bilingual employees are unable to fulfill these job duties.
Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (oral and written). In particular, this position will require the employee to communicate with English-speaking clients, partners, and employees located outside Quebec on a daily basis.
Key Competencies
Customer Service Orientation: Strong focus on candidate experience and internal team collaboration.
Organization & Multitasking: Ability to prioritize administrative tasks and candidate interviews in a fast-paced setting.
Communication: Clear verbal and written skills for conducting screens, leading orientations, and answering workforce questions.
Attention to Detail: Precision in compliance verification, payroll data tracking, and record keeping.
Adaptability & Initiative: Proactive attitude with the flexibility to adapt to changing daily staffing needs on-site.
Team Player: Works seamlessly under the direction of the Account Manager to support program objectives.
Summary
This Site coordinator / Recruiter position offers a dynamic opportunity to oversee high-volume workforce operations while acting as a key partner for an industry-leading distribution facility. The assignment offers strong long-term growth potential for top performers. Qualified candidates are encouraged to submit their resume directly to Vithusha Ravi at [email protected] or apply online at randstad.ca.
