Job description

Your new company

Our client is a well-established Canadian organization with a significant network of retail and commercial locations across Ontario and Quebec. With a long-standing presence in the market and continued growth across its operations, they are looking to add a Bilingual Facilities Coordinator to their team based in Maxville, Ontario.

Your new role

As the Bilingual Facilities Coordinator, you will support the day-to-day maintenance and facility requirements of a diverse portfolio of retail sites, car washes, offices, and other company facilities across Ontario and Quebec.

Reporting to the Manager, Repairs and Maintenance, you will receive, prioritize, and track maintenance requests, coordinate vendors and contractors, and ensure repairs are completed safely, efficiently, and on schedule. You will manage open work orders, communicate updates to internal stakeholders, maintain service and asset records, and help coordinate preventive and corrective maintenance across the portfolio.

You will also obtain quotes, review service details and invoices, assist with maintenance-related inventory, and monitor contractor performance. The role will support RFQs for maintenance, repair, capital, and seasonal service contracts, including developing scopes of work, soliciting vendors, evaluating bids, and supporting contract recommendations.

Working closely with Operations, Retail, Fuel, and Facilities teams, you will play an important role in keeping sites operational, compliant, and well maintained.

What you'll need to succeed

  • To succeed in this position, you will have 2+ years of experience in facilities coordination, maintenance coordination, repair dispatching, property operations, or a similar role. You must be bilingual in English and French, with strong written and verbal communication skills in both languages.

  • You will be highly organized and comfortable coordinating multiple work orders, vendors, sites, and competing priorities at the same time. Experience working with work order management or CMMS platforms such as MaintainX would be considered an asset, as would knowledge of building systems, facility maintenance, retail operations, car wash systems, or contractor coordination.

  • Strong skills in Microsoft Excel, Outlook, and Word are required. Post-secondary education in Facilities Management, Business Administration, Operations, or a related field would be considered an asset.

  • You should also be comfortable occasionally travelling to company sites and responding to urgent maintenance matters outside of regular business hours when required.

What you'll get in return

  • In return, you will receive a salary of $60,000–$68,000, based on relevant experience and education, along with a comprehensive compensation and benefits package.

  • The package includes three weeks of vacation to start, health, medical, dental, and life insurance, an RRSP program with company matching from day one, and a long-term incentive program. Additional employee perks include gym membership reimbursement and employee discounts.

  • This is an excellent opportunity to join an established organization in a hands-on facilities role where you will have exposure to a large, multi-site portfolio and work closely with operations, vendors, contractors, and internal stakeholders.
