Our Operations team is looking for an Operations Coordinator to keep key day-to-day processes running smoothly. You will organize project resources, track operational tasks, and coordinate work across departments to support delivery for K-12 school boards and regulatory bodies. If you enjoy creating order out of moving parts and keeping projects running seamlessly on schedule, this role is for you.

Responsibilities

  • Ensure the successful execution and operational stability of Vretta’s assessment solutions across the full assessment lifecycle, ensuring all steps are completed accurately and on schedule.

  • Execute, monitor, maintain, and update Standard Operating Procedures (SOPs) before, during, and after administration periods to ensure consistency across the operational framework.

  • Serve as the primary operational liaison between client stakeholders and internal Vretta teams to support transparent, timely communication and project updates.

  • Prioritize and resolve live operational issues, including managing Level 3 technical escalations by gathering requirements and coordinating with internal teams to minimize assessment disruptions.

  • Coordinate resource allocation and facilitate cross-team assignments to maintain active operations, SOP compliance, and effective project coverage.

  • Track and report key performance indicators (KPIs) and operational performance data to monitor continuous stability and provide actionable insights to the Head of Operations.

  • Document and submit detailed incident reports for operational disruptions.

  • Relay operational feedback, bug reports, and key insights to product and project teams for iterative improvements.

  • Support knowledge transfer and post-allocation training to ensure team members are fully equipped to handle new project assignments.

  • Execute operational and client reporting, ensuring all data is accurate, transparent, and delivered on time.

  • Maintain a deep understanding of internal products, projects, and operational workflows to act as a central resource and subject matter expert for the team.

Requirements

  • Strong analytical skills and problem-solving ability, with a strong understanding of customer support workflows, operational metrics, and process management.

  • Excellent attention to detail, a focus on accuracy, consistency, and accountability, and the ability to understand production challenges.

  • Highly motivated, organized, personable and able to work with a team, with proven experience in operations, customer success, or project management roles (ideally in SaaS, EdTech, or a similar client-centric environment).

  • Highly proficient in Microsoft Office Suite, Notion, Gitlab, Jira, data analysis, and familiar with MS Project, CRM, ticketing, and reporting systems.

  • Ability to exercise good judgment in fast-paced high-pressure work environments, sometimes with competing priorities.

  • Flexibility and initiative, together with excellent organizational skills.

  • Ability to communicate effectively with all departments, with the ability to influence across teams and manage competing priorities.

  • Ability to create, optimize, and enforce SOPs across teams.

  • Being bilingual (English and French) is a bonus.

  • Genuine enthusiasm for education!
