Executive Assistant

Salary: $80,000 - $95,000/year
Location: Downtown Vancouver (Hybrid)

Smythe LLP (Smythe) is looking for an organized and proactive Executive Assistant to support our Assurance Practice Group Leader in Downtown Vancouver.

The ideal candidate is a resourceful, technology-minded administrative professional who anticipates needs, exercises sound judgment, and maintains a high degree of discretion.

The Opportunity

We have an exciting opportunity for an experienced Executive Assistant to join the Smythe team, providing high-level support to our Assurance Practice Group Leader.

This role is well suited to someone who takes ownership, confidently manages complex and competing priorities, and recognizes opportunities to improve how work gets done. You will combine exceptional support with sound judgment, excellent communication and a continuous-improvement mindset. You are proactive in anticipating your Executive’s needs to help manage their work effectively.

In this role, you will:

  • Provide proactive executive-level support, taking ownership of complex priorities and exercising sound judgment to ensure a high level of preparation, coordination, and follow-through.
  • Anticipate your Executive’s needs and priorities, looking ahead to identify requirements, potential challenges, and opportunities for support before they arise, ensuring they are prepared and administrative needs are addressed appropriately.
  • Manage high-priority, time-sensitive, and confidential matters, exercising discretion while preparing and coordinating professional correspondence, presentations, reports, meeting materials, and other client-facing documents.
  • Serve as a trusted point of contact for Partners, clients, and internal stakeholders, proactively coordinating communications and priorities while navigating competing demands and resolving challenges independently.
  • Plan and coordinate large-scale events, conferences, meetings, and firm-wide activities, managing complex logistics and stakeholder requirements to deliver a seamless and high-quality experience.
  • Leverage Microsoft Copilot, AI, automation, and other technology to optimize administrative workflows, improve productivity, reduce manual processes, and enhance the support provided to Partners and teams.
  • Contribute to process, data, and system improvement initiatives, supporting documentation, testing, implementation, and the continued evolution of administrative tools and ways of working.
  • Collaborate with Senior Admins and cross-functional teams to support process improvements, data governance, maintain procedures, and contribute to training and knowledge-sharing initiatives.

What You Bring

  • 5+ years of progressive experience in executive administration, senior administrative support, or a related professional services environment, with demonstrated success supporting senior leaders and managing complex priorities.
  • Exceptional organizational and communication skills, with the ability to anticipate needs, exercise sound judgment, manage sensitive and highly confidential information, and provide polished, executive-level support with limited oversight.
  • Strong technology capabilities and a demonstrated interest in using Microsoft 365, Copilot, AI, automation, and digital tools to improve workflows, increase efficiency, and find better ways of working.
  • Highly proactive, resourceful, and solutions-focused, with the ability to manage competing priorities, navigate change, resolve challenges independently, and maintain a consistently high standard of accuracy and professionalism.
  • Experience coordinating complex meetings, large-scale events, conferences, and business activities, with strong attention to detail and the ability to effectively manage multiple stakeholders and logistics.
  • Strong relationship-building skills, with the confidence and professionalism to work effectively with Partners, clients, and internal stakeholders while delivering an exceptional level of service.
