  • Provide support with professional and personal scheduling or arrangements as requested by the CEO and COO
  • Proactively anticipate executive needs, manage competing priorities, and ensure confidential and time-sensitive tasks are completed promptly
  • Provide administrative support to BTY’s Co-Chairs, including coordinating meetings, preparing minutes, and following up on action items
  • Coordinate company-wide client gifting initiatives, including ordering, distribution, and budget tracking
  • Provide coverage for other EAs during vacations, absences, or as operationally required
  • Collaborate with other EAs and the admin team on administrative projects, company initiatives, events, meetings, and ad hoc requests

What You’ll Bring

  • A minimum of 6 years of experience providing executive-level administrative support, preferably supporting multiple senior executives
  • Post-secondary education in Business Administration or a related discipline is preferred, but not required
  • Demonstrated experience coordinating complex calendars, international travel, executive meetings, and confidential communications
  • Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities and unexpected deadlines
  • Strong judgment, discretion, and confidentiality when handling sensitive information
  • A proactive approach to anticipating needs, identifying potential issues, and working independently to resolve them
  • Excellent written and verbal communication skills, including strong document preparation and proofreading capabilities
  • Strong interpersonal skills and the ability to establish effective relationships with internal and external stakeholders
  • High attention to detail and accuracy in correspondence, scheduling, recordkeeping, and documentation
  • The ability to remain adaptable, professional, and composed in a fast-paced environment with changing priorities
  • A collaborative approach and willingness to provide operational coverage across the administrative team when required
  • Strong technical aptitude and the ability to learn new systems and software.
