Location: Ideally close to one of our branches | Regional Travel Required

Levitt-Safety is looking for an experienced Service Administration Manager to lead our service administration function across Western Canada, including Alberta (excluding Fort McMurray), British Columbia, Saskatchewan and Manitoba.

Reporting to the VP, Services, you will provide strategic and operational leadership to regional service administration teams, leading through administration supervisors and supporting employees across multiple locations. You will be accountable for the effectiveness, consistency and continuous improvement of service administration processes, systems and customer support.

This is a senior leadership opportunity for an organized, commercially minded individual who enjoys developing people, improving business processes and building efficient, high-performing teams in a technical service environment.

What you'll do

  • Lead and develop Western Canada's service administration teams through regional supervisors, establishing clear expectations, consistent standards and accountability for performance.
  • Oversee key service administration functions, including quoting, scheduling, work order management, service reporting, invoicing and accounts receivable coordination.
  • Monitor team performance, workloads, capacity and administrative backlogs, ensuring resources are effectively allocated to support service operations and customer commitments.
  • Drive consistent administrative processes and service standards across all Western locations, identifying opportunities to improve efficiency, accuracy and customer experience.
  • Lead recruitment, onboarding, training, performance management, succession planning and ongoing development of service administration employees.
  • Partner with Regional Service Managers and local leadership to strengthen coordination between administration teams and field service operations, resolving escalated issues and operational challenges.
  • Lead the ongoing development, implementation and adoption of service management systems, including ISM Service Software, ERP, CRM and related business platforms, partnering with IT and other stakeholders on system enhancements and improvements.
  • Develop and maintain standardized procedures, work instructions, training programs and administrative tools to support consistent execution across the region and nationally.
  • Oversee service administration KPIs and reporting, including quote turnaround, scheduling effectiveness, work order completion, invoicing timeliness, data accuracy and accounts receivable performance.
  • Partner with Service leadership and Accounting to strengthen financial controls, improve billing readiness, resolve invoice discrepancies and support timely collection of outstanding accounts.
  • Maintain and govern the National Services Pricing Matrix, ensuring pricing accuracy and consistency across business systems and service platforms.
  • Collaborate with the VP, Services and other regional leaders on national service initiatives, system improvements, training programs, COR certification support and continuous improvement projects.

What we're looking for

  • 5+ years of progressive leadership experience managing administrative or operational support teams, ideally across multiple locations.
  • Demonstrated experience leading through supervisors or team leaders, with accountability for larger, geographically dispersed teams.
  • Experience in a technical service, field service or service-based business environment is strongly preferred.
  • Strong people leadership, coaching, performance management and workforce planning skills.
  • Proven ability to standardize processes, improve workflows and lead change across multiple locations.
  • Strong business and financial acumen, including operational KPIs, billing processes, accounts receivable and financial controls.
  • Experience with ERP, CRM or service management systems, including system implementation, optimization or process improvement.
  • Excellent organizational, analytical, problem-solving and communication skills.
  • Proficiency in Microsoft Office and operational reporting.
  • Post-secondary education in business administration, operations or a related discipline, or an equivalent combination of education and experience.
  • Willingness to travel regionally and nationally as required.
